The Dental Office Business Coordinator should be very professional, loyal and energetic with excellent customer service, phone and computer skills. Can work well under pressure with outstanding interpersonal skills, detail orientated and independent. Would prefer someone with bookkeeper like qualifies, i.e., someone with Accurate Data Entry abilities and with Accountability for balancing patient accounts. A High level of trust:worthiness and business ethics.
They should be a self:starter, responsible, focused and highly motivated to maintain a full schedule. They should be organized, very reliable and able to be a team player. This person will be able to promote and sustain the financial goals of the office through proper scheduling. They should support and encourage growth of the practice.
Job Requirements:
1. Preferred 5+ years experience in Dentrix and E:Central. Experience in Easy Dental a plus. Must be On:Time as coordinator will be opening office and greeting patients.
2. Growing Office: The DBC should be familiar with a minimum of four column patient scheduling guided by daily and monthly production goals. Includes daily schedule production goals, emergencies, hygiene, recalls and routine office visits.
3. Dental Terminology for Case presentations: encouraging immediate scheduling and the importance of treatment. A Dental Assisting background helpful.
4. Financial arrangements including care credit, monitoring financial arrangements with patients ensuring collections (accounts receivables) and proper billing.
5. Insurance: This person should be able to bill insurance properly and understand criteria to minimize rejected claims. Follow:ups on insurance status daily. Updating insurance information and verification to avoid missing plan changes. Familiar with updating by accessing web sites and calling. Maximizing profitability through proper application of Insurance Codes. Processing Insurance claims with follow:up to ensure collections. Updating fee Schedules on:time and yearly.
6. Managing cancellations and rescheduling: Being able to maintain a call list for patients seeking openings that need treatment. Keeping the schedule full.
7. Data Entry: Accurate and complete patient information entry with updates on Insurance IDs, phone numbers, emails (for e:central) and texting options.
8. Recall System and Patient Retention: Motivated to contact patients that have missed recall appointments or unscheduled treatment plans. The Dental Coordinator must understand the importance of keeping patients active in the system by follow:up. Letters, phone, texting required.
9. Reports: Need to print performance reports and present to doctor and at monthly and weekly meetings. Claims with attached insurance not paid, recall reports new patient data, accounts overdue, etc.
10. Financials: Entering checks, printing chronological day sheets, filing EOBs and auditing. Balancing patient accounts (individual and family), producing receipts.
11. The Dental Office Coordinator should be able to attend classed on occasion to update education. Also, this person should be amenable to some marketing to other offices or events in the area.
12. Microsoft word and Excel a plus. Good handwriting and spelling skills, ability to communicate well and letter writing skills.
